General information industry activities
- On Monday, 15 September / Tuesday, 16 September / Wednesday, 17 September industry symposia on the occasion of the EASD will take place (please also have a look at the Pocket Programme). In case someone is searching a particular symposium, please advise how to get there.
- On Monday also the booking period for industry meeting rooms is starting. These meeting rooms mainly will be used for internal meetings of exhibitors or sponsors and also for staff briefings. You will receive a meeting room schedule.
- In case delegates need help in finding a room, please ensure you direct them to the correct room. It could happen a company is running a symposium and an internal meeting at the same time. In this case you have to find out what the person in front of you is looking for.
- The industry exhibition (hall B) is open from Tuesday, 16 September – Thursday, 18 September. In case questions are arising regarding the exhibition, please see some key data below.
Symposium on the occasion of the EASD
- It is a symposium (session/lecture) excluded from the main scientific programme of the EASD meeting, sponsored and organised by a pharmaceutical or MedTech company. Companies have to pay for this and therefore they can expect excellent service and facilities.
- These symposia are organised by the companies and/or their supporting agencies.
- These symposia 2025 are taking place in Vienna and are livestreamed via the EASD Virtual Meeting platform.
Access
- All persons attending a symposium on the occasion of EASD have to wear a name badge. All types of official congress badges (delegate, exhibitor, press etc.) are accepted.
General requests regarding symposia
- Please try to help delegates with finding the relevant room and other general information. In case there are technical problems or any other issues regarding a symposium, please contact INTERPLAN/Lisanne Leonhardt +49 15 25 95 22 067.
Industry meeting rooms
- Industry meeting rooms are used for small private meetings or staff meetings of exhibitors and sponsors. The rooms are used from Monday, 15 September until Friday, 19 September 2025.

- The available industry meeting rooms are spread across VIECON/Messe Wien. The permanent rooms are located above Hall B at the gallery on the first floor. The constructed rooms will be positioned underneath the gallery in Hall B and in the corners of Hall A and B on the ground floor.
Opening hours:
- The industry meeting rooms can be rented for the complete conference period, for full days or half days.
- In the rental price basic equipment is included (see meeting room guide). Standard set-up is boardroom, other set-ups are possible on request only.
Access to the industry meeting rooms
Monday, 15 September 2025 – Thursday, 18 September 2025:
Full day: 09:00 – 18:00
Half day – Morning: 09:00 – 13:00
Half day – Afternoon: 14:00 – 18:00
Friday, 19 September 2025:
Full day: 09:00 – 14:00
Only full period bookings from Tuesday-Friday possible for the constructed rooms in Hall B (P-IMR2)!
- For the whole period, 15 – 19 September 2025, a badge will be required to access the industry meeting rooms. It does not matter whether it is an industry badge or a delegate badge.
- The rooms have to be vacated at 18:00 (Friday at 14:00) at the latest due to security reasons.
Press meetings
- There are certain slots for press activities in general meeting rooms, which can be booked by the industry. Availability will have to be checked upon request and are not allowed during press slots of EASD. One slot can have the maximum duration of 2 hours.

For stand personnel (green badges) the exhibition area will be opened and closed 60 minutes before and after the official opening and closing times. On the first exhibition day (Tuesday) the access for exhibitors starts 120 minutes before the official opening.

- Moving in of rental system stands and allocation of all ordered equipment
- Finish of all technical set-up
- Load up and clear up of stand building material such as hand lifts, boxes etc. in order to clean the aisles
- All exhibition stands must be fully operational for the approval by the local authority
- 15:00 – 21:00: Only stand decoration is allowed
- During the night: Laying of the aisles carpet

Access to the exhibition / Constructor Badges
At VIECON, no constructor badges are required!
Exhibitor Service Desk
There will be an Exhibition Service Desk in the exhibition hall B with a contact person from Interplan during set-up, dismantling and throughout the opening hours of the exhibition.
General requests of exhibitors
- In case an exhibitor wants to book anything additional or has any questions regarding his stand, please ask for the stand number, company name and the name of the person. Then forward this request to INTERPLAN via the Exhibitor Service Desk or to Oliver Heinke (+49 174 82 61 394). In case you do not have any stand number, please check the exhibitors’ list in alphabetical order.
- Please try to avoid sending the exhibitor back to his stand without any information. In case you are not able to reach somebody, get help at the INTERPLAN Industry Counter.
Industry badges
- The badges for exhibitors have a green header and allow the access to the exhibition hall as well as to the industry symposia.
- Every company will receive 2 industry badges free of charge per booked 9 sqm stand space. Additionally, they receive 1 free technical service badge per exhibitor.
- For additional industry badges they have to pay 175,00 € net per badge directly on-site cash or with credit card. The badges can be ordered at the Interplan Industry Counter in the registration area.
