Your general task:

  • Help scanning and printing of pre-ordered badges.
    • Each person has received a Barcode via Email.
    • Scan the Code to print the badge.
  • Looking after the stations, refill paper and lanyards.
  • Preparation of new registrations.
  • Exhibitor service (helping with requests, questions, providing information etc.)


General codes of behavior:

  • The congress language is English.
  • We are very kind and courteous to all exhibitors and delegates on-site.
  • Please inform the Interplan staff if there is a problem and do not solve it on your own.
  • Breaks have to be adjusted with the whole team and one of the Interplan staff.
  • The Interplan staff has to be informed, should you be prevented for any reason or will not be on time. Therefore, please keep the number of the counter (+49 178 40 02 566).

For build-up and dismantling at IFEMA Madrid no constructor badges are required!

Briefing badge handling:
All industry badges have been registered by the companies at the Interplan registration platform. Depending on the stand size, the exhibitor receives a certain number of badges free of charge:

 2 industry registrations per full 9 square meters exhibition space (shown in masterlist)

The badge is indicating:

company name, first name, last name

This badge will include:

access to the on-site exhibition hall and industry sessions

This badge will NOT include:

Scientific sessions
Access to the Virtual Meeting platform / congress app

This badge is for:

All representatives and staff of the exhibitor / local staff (hired by an agency)

Registration deadline was 30 August 2024.
The not allocated free badges can still be booked on-site, please check in the masterlist if they have free badges left.

Virtual only badges cost 75 € per badge plus statutory sales tax according to European regulations.

Guest badge Monday and technical badges will be given out at the Industry counter on request (for more detailed information, please see also below):

Registration pre-congress:
Prior to the congress every exhibiting company has received a link which enabled them to register their staff online, both for included badges free of charge (complimentary badges) and for additional badges that have to be paid if they need more.

Payment / invoicing:

  • If an exhibiting company wants to register someone with a different company name on it, it will be handled as visitor (200 € net per badge), only the same company name will cost 175 €.
  • The badges have not been invoiced. If the company has booked additional badges they can pay them via credit card on-site or after the congress via bank transfer or credit card.
  • All on-site purchased visitor badges have to be paid on-site!
    For payment information they should be send to the INTERPLAN staff.
    Please note: The sales tax depends on the country of the exhibiting company.  
    • Additional badge -> If the company is based in Germany, 19% VAT applies, so the fee per badge is: 208,25 € (33,25 € VAT)
    • Visitor badge -> If the company is based in Germany, 19% VAT applies, so the fee per badge is: 238 € (38 € VAT)
    • Name change/lost badge If the company is based in Germany, 19% VAT applies, so the fee per badge is: 59,50€ (9,5VAT)
    • If the company is based in any other country 0% VAT applies (reverse charge) and the fee per badge is 175,00 € / 200€.


Client wants to change a badge or replace a participant
Let him fill out the form for name changes and take his name/business card.
For every change of an exhibitor badge, we have to charge a fee of 50 € + VAT.
Please ensure before charging the badges that the collector agrees to pay the amount and collect the old badge!

Client wants to order an additional badge / visitor badge
Please give the collector the form to fill in the name for the additional badge.
Before printing, please ensure the collector is able to pay (visitor badge) or if he/she has free badges left. When printing the new badge, please use the same company name as written on the masterlist.

Client has lost his/her badge or reprint of badge
If an exhibitor loses his/her badge, please check in events, on the on-site forms or with Interplan staff if the person is registered. If yes, please let him/her fill in the form and print a new badge.
Payment lost exhibitor badge: Please inform Interplan staff to charge the handling fee of 50 € + VAT.

Important regulations: 
It is often easier for the clients if you ask them for a business card and tack it on the form instead of filling in the contact details. However, a signature is always required.

Special badges 

  • Community Plaza
    Pre-printed badges are at the Interplan Industry Counter, ready for pick up
  • Technical badges
    We got a couple of technical badges which can be handed out to booth staff (1 badge per company) for quick deliveries, checks etc. The badges must be returned after 15 minutes as they are not for long term guests (please see also name list with return notice).
  • Guest badge for symposia on Monday (9 September 2024)
    These badges are just for visiting Monday symposia. If a company wants to bring a guest to its own symposium, these badges can be handed out on request.
  • Industry photographer
    These badges are for photographer which are working for companies on their booth. They need to fill in a special form, please write clearly the company name on the photographer badge. These badges allow them to take pictures, but they still need a registration with it.
