Abstracts:
An abstract is a written summary of a scientific paper. This must be submitted by the author in advance of the conference and approved by the programme committee. The abstracts will be presented on-site (please see also Oral Presentations and Short Oral Discussions). 

Accepted abstracts:
Will be published in the Abstract Volume, a supplement issue of Diabetologia, the journal of the EASD. Furthermore abstracts accepted for presentation and discussion will be published on the association’s website www.easd.org from 1 July 2024.

Accommodation:
Our hotel team handles a lot of group and individual allotments and they can be contacted on-site at the hotel accommodastion counter in the registration area (NCC, ground floor) or via hotels.easd@interplan.de.

Admission:
The name badge is the admission ticket to the congress. From Monday, 9 September (= 1st congress day) every congress delegate needs to wear a congress badge.

App:
The EASD Virtual Meeting app is for registered delegates of the EASD Annual Meeting 2024. It provides access to the programme, speakers, floorplans, live sessions, on-demand content and other opportunities:

Catering

• There registration fee does not include any catering. However, there are free fruits and free coffee stations in the industry exhibition area (hall 10), the exact position can be seen on the floorplans.
  
• Water dispenser will be distributed over the entire congress venue.
• In the Avenida a few F&B outlets/restaurant will be open and serving snacks, beverages and food for money. Besides, there will be a food court in the back of hall 10 within the industry exhibition area.

Childcare services:
There is no childcare service available at the congress venue.

City information desk:
Is located in the registration area (NCC, ground floor) for practical information about Madrid.

Cloakroom:
A cloakroom with facilities for luggage storage is located in the registration area (NCC, ground floor).

EASD booth:
The EASD booth can be found at the EASD Networking Plaza (hall 10).

EASD Member Lounge:
The EASD Member Lounge is located in hall 10 and can only be accessed by EASD Members.

EASD offices & meeting rooms:
The EASD offices and meeting rooms are located at mezzanine level in hall 9.

Industry exhibition:
The industry exhibition can be found in hall 10. Industrial companies can present their products and establish contacts. Access to the exhibition area is only allowed to participants that have a name badge! Also exhibitors are required to wear name badges in order to to be allowed to enter the exhibition space.

EASD General Assembly
Wednesday, 11 September 2024, 10:45 – 12:15 CEST in Cairo Hall
EASD members are invited to attend the General Assembly during the EASD Annual Meeting 2024 in Madrid.

First aid:

Food & drinks

Industry meeting rooms:
Used for small private meetings or staff meetings of exhibitors and sponsors. The rooms are used from Monday, 9 September until Friday, 13 September 2024.

Industry symposia:
An industry symposium is a session in the programme organised by a company. The symposia are freely accessible for all participants. An overview of all industry session can be found in the Pocket Programme.

Language:
The official language of the EASD Annual Meeting 2024 is English. There is no simultaneous translation service provided.

Live streaming:
All sessions will be livestreamed on the Virtual Meeting platform (available for registrered delegates). 

Madrid information desk
Is located at the registration area (NCC, ground floor) for practical information about Madrid.

Moderator / Chair:
Chairs (or moderators) moderate the scientific sessions. They are always sitting in the front / or on stage during a session. They are responsible for time management and coordinate the discussion at the end of each lecture.

Name badges:
All participants will receive a name badge which entitles them to access the congress. If the congress registration is fully paid prior to the conference, the partipant will receive a QR code by email for the self-print stations on-site.
Fundamentally: No participant is allowed to enter the congress area without a name badge. If someone is without a name badge, please politely send them to the registration (NCC, ground floor).

Networking Plaza:
The EASD Networking Plaza is located in Hall 10 and includes the EASD/EFSD Booth, the Diabetologia and EASD Early Career Academy Booth, Virtual Meeting Tower, seating areas and charging stations for mobile devices.

Opening hours:
You can find all relevant opening hours in the eFinal Programme. 

On demand:
All sessions (scientific/industry) will be available on-demand on the Virtual Meeting platform (available for registered delegates) from 24hrs after the end of the live session.

Public transportation:
The registration fee for in person delegates includes a public transportation ticket (Madrid city Zone A) valid for 5 days.

Press Centre
Journalists registered to the EASD Annual Meeting 2024 can access the on-site Press Centre in Madrid offering work stations incl. WiFi/LAN and printers.
Press releases and other materials will be distributed to registered press delegates throughout the meeting.
Third parties may distribute press releases or press kits through the Press Centre. Press materials should be sent as PDF files to press@easd.org. For the congress, third parties should bring printed copies directly to the on-site Press Centre. All press materials must adhere to the EASD embargo policy by clearly stating the embargo time and date in line with the respective presentation at the Annual Meeting. The company issuing the release assumes responsibility for ensuring embargoed releases are only distributed to reporters who will abide by the EASD’s embargo policies.

Press Conferences

• EASD will organise a series of press briefings throughout the Annual Meeting. A detailed schedule will be available for registered press delegates closer to the date.
• Third party press conferences are permitted however, they cannot be held at the same time as an EASD press conference.

Registration area:
The registration area is located at the North Convention Centre (ground floor) and is the first point of contact for all congress delegates.

Restaurants:
In the Avenida a few F&B outlets/restaurant will be open and serving snacks, beverages and food for money. Besides, there will be a food court in the back of hall 10 within the industry exhibition area.

Selfprint station:
Selfprint stations mean that the participants receive a QR code in advance by e-mail. With this QR code they can print out their name badge at the stations on-site. The selfprint stations are located in the registration area (NCC, ground floor).

Smoking:
The EASD Annual Meeting 2024 is a non-smoking congress.

Speakers’ Lounge:
The Speakers’ Lounge is located at mezzanine level between halls 7 and 9 (Business Centre). All speakers are asked to check their presentations at the Speakers’ Lounge at least three hours before the scheduled presentation time. If the presentation is scheduled in the morning, speakers are kindly asked to check their presentation at the Speakers’ Lounge the day before.

Staff room:
Located at Sala Colón (2^nd floor of NCC on the left hand side).

Transportation:
The registration fee for in person delegates includes a public transportation ticket (Madrid city Zone A) valid for 5 days.

Virtual Meeting platform 
EASD 2024 is a hybrid congress. Delegates can follow the livestream of the entire program on the Virtual Meeting platform. The personal access links to enter the congress platform were sent to all registered delegates in advance. The EASD 2024 Virtual Meeting platform is open until 11 October 2024.

WI-FI:
Wi-Fi access will be available throughout the venue, free of charge.
