Oral Presentation sessions (OP 1 – OP 48) and Late-Breaking Abstract Oral Presentation sessions (LBA OP 1 – LBA OP 7)
5 Minutes before:
- Put fresh bottles of water on the desk of the chairpersons.
- Make sure that the information for chairpersons of Oral Presentations / Symposia is placed on the desk
After:
- Remove the used bottles of water from the desk of the chairpersons.
EASD Symposia / Invited Lectures
5 Minutes before:
- Put one or two bottles of water on the desk of the one or two chairpersons and a fresh bottle on the desk of the Speaker after every lecture.
After:
- Remove the used bottles of water from the desk of the one or two chairpersons and the used bottle on the desk of the Speaker after every lecture.
Speakers’ Lounge:
It is NOT possible to plug their USB stick into any computer in the hall or bring their own laptop.
If a presenter asks where he/she can upload his/her presentation slides, please direct them immediately to the Speakers’ Lounge or the AV crew.
Change of presenter and/or chairperson:
- Every day, before the first session will start, please collect all available sheets informing of a change of presenter and/or chairperson as well as copies of the evaluation form at the Interplan counter (in the registration area, NCC ground floor). These sheets are to be put on the desk for the chairpersons PREVIOUS to the corresponding Oral/ LBA Oral Presentation (OP 1 – OP 48 / LBA OP 1 – LBA OP 7)/ Symposium.
- Please give the chairs the messages informing of the changes based on the print out you received (if you received any).
Make sure that there are always evaluation forms on the desk, one for each session (i.e. OP 1 – OP 48 / LBA OP 1 – LBA OP 7 and Symposia including Prize lectures). The evaluation forms will also be sent as e-mail to each chairperson, please inform them that they have the option of replying to the e-mail or to fill them out and return them directly to you or to the EASD booth. Please fill in yourself the approx. number of people that attended each session!
- If possible, please take photos with your smartphone of each presenter (and coordinate with Daniela Eichleitner).
Delay or no show:
Always keep track of the time and the schedule of all presentations. If symposium speakers, chairpersons or oral /LBA oral presenters are delayed (even if only 1 minute!) or do not show up, DO NOT hesitate to approach one of the other symposium or oral / LBA oral session speakers or chairpersons and tell them to start the session. Then make sure to be alert for when the missing/delayed person arrives so he/she can be the last to present/talk.
Overflow:
In case there is an attendance overflow for a session, please be aware that, for safety reasons, it is not allowed to have delegates standing outside (or even inside) the full lecture halls. Any spontaneous/short notice special overflow arrangements will be communicated to you immediately and you will be given more detailed instructions when this happens.
