Short Oral Discussion Sessions
- All Short Oral presentation slides must be prepared upfront and uploaded to the online presentation system.
- Deadline for Short Oral presentation submission: 9 September 2024 at 12:00 (noon) CEST
- If a presenter missed the presentation upload deadline, they must be immediately directed to the Speakers’ Lounge.
- Indicate to the presenters that they should find the corresponding station for their short oral discussion by following the signage on the screens / overview of sessions / mailing for the presentation upload.
- All authors of a short oral presentation are strongly encouraged to submit a PDF file for the ePoster stations and the online platform. The PDF file should contain a one-page summary of the presentation.
Short Oral Discussion Sessions within the 102 Short Oral Sessions and 5 LBA Short Oral Sessions:
2 Short Oral Discussion events take place each day from Tuesday to Thursday:
- Tuesday, 10 September
- Short Oral Discussion Sessions Event A: 12:30 – 13:30
- Short Oral Discussion Sessions Event B: 13:45 – 14:45
- Wednesday, 11 Septem,ber 2024
- Short Oral Discussion Sessions Event C: 12:45 – 13:45
- Short Oral Discussion Sessions Event D: 14:00 – 15:00
- Thursday, 12 September
- Short Oral Discussion Sessions Event E: 12:45 – 13:45
- Short Oral Discussion Sessions Event F: 14:00 – 15:00
Your job is:
- Hand out an evaluation form to the chairperson of the session that is about to start; also inform each of the chairpersons that this evaluation form will also be sent by e-mail from abstracts@easd.org and tell him/her that they are kindly asked to return the form to the Booth or reply to the e-mail as their feedback/ comments will be greatly appreciated.
- It is very important to kindly remind the chairpersons of the first sessions of each day to finish in time to pass the microphone to the next session’s chairperson.
- The number of delegates attending the short oral discussion sessions / presentations varies depending on the topic. It is extremely important to keep track of the headsets and receivers.
- If you run out of headsets/receivers in your session; one of you can go around to the other sessions or the helpdesk to see if there are any available; if not, please tell the delegates they can also scan the QR code on the screen by the session to listen in with their smart phone.
- This technical equipment needs to be collected and distributed among the delegates for the next short oral discussion sessions event within the 15 minutes in between the 2 events!
- 1 person collects all headsets from the session that just ended; the other person collects all receivers and makes sure that the chairperson’s microphone along with everything else is prepared and ready to be used in the next session immediately. The equipment has to be quickly distributed among the delegates attending the next session.
- At the end of the last short oral discussion event of each day (B, D, and F) each team/pair will collect all headsets and receivers. After collecting the equipment directly from the delegates who were at your session, walk around the area and DO NOT BE SHY to approach the delegates asking them to please return the equipment. You might also help your colleagues at the other stations.
- For safety reasons, boxes with reprints/handouts/booklets on the floor anywhere in the Short Oral Discussion Sessions’ Area are not allowed. If you see any, please either remove them and dispose of them yourself or inform the EASD supervisors.
Change of presenting author
- Before each short oral discussion event/session starts, go to the headset/receiver meeting point and, along with the technical equipment, you may receive a piece of paper with important information regarding any changes of presenting author.
- Please give the chairperson the messages informing of last changes based on the print out you received (if you received any).
- Please remember to encourage the chairperson to reply to the evaluation e-mail they will have received from abstracts@easd.org; or if they prefer, they can have the evaluation form as print out from you (you will be provided with enough of them) and they can fill it out and hand it back to you or to the EASD booth.
Important to know:
- Each event consists of 18 parallel Short Oral Discussion Sessions with approx. 8 short oral presentations each.
- The session number and the session title are displayed on the screens in the corresponding short oral discussion stations.
- There is 1 chairperson for each short oral discussion session who moderates each of the approx. 8 short oral presentations in his/her corresponding session.
- There is one microphone for each session and approx. 30 receivers with headsets set up for the transmission of the different sessions.
- For security reasons boxes with reprints/handouts/booklets on the floor anywhere in the Short Oral Discussion Sessions’ Area are not allowed. If you see any, please either remove them and dispose of them yourself or inform the EASD supervisors.
Headset / Receiver control
- The headsets and receivers must not be taken out of the Short Oral Discussion Sessions area! Not even to make a quick phone call; delegates should then get a new set of headset and receiver once he/she is back in the area.
