Industry symposia
What is a “Symposium on the occasion of the EASD”?
It is a symposium (meeting) excluded from the main scientific programme of the EASD meeting, sponsored and organised by a pharmaceutical / medtech company. Companies have to pay for this and therefore they can expect excellent service and facilities.
These symposia can be handled by the companies directly or through agencies which take care of the running.
All symposia rooms are technically equipped by a German audiovisual company named m-events / JMarquardt. This company is dealing with lighting, audio and projection equipment and runs the network-based presentation system via touch screen at the lectern. Besides, they are also in charge of the session livestream (incl. interactivity) on the EASD Virtual Meeting platform.
At least one m-events technician is located in each hall.
The congress centre is responsible for air conditioning in the lecture halls.
General information regarding your job:
You are all planned according to the starting and end time of the accordant symposium, please ensure that at least one of you always stays present in your hall.
Access
All persons attending a symposium on the occasion of the EASD have to wear a name badge. All types of official congress badges (delegate, exhibitor, press etc.) are accepted.
Catering
Some of the companies are serving coffee/breakfast or light buffets before or during their symposia. This catering will run mostly in the respective foyer of the hall, please advise the catering staff in case that they are too noisy when preparing the breaks.
Your job is:
- You are responsible for the preparation of the session hall – especially on the stage.
- You support the companies with all your efforts to make the symposium a great success.
- Please introduce yourself to the responsible company (or agency) representative and give every support they may need (e.g. distribution of material on the seats, scanning of delegate badges etc.).
- Please also introduce yourself to the technician in the room – you will work with him as a team!
Please note:
- Be on time in your session hall (1 hour before the symposium starts at the latest)
- Make sure you know which symposium it is (see the Industry Programme): Company name, title, speaker’s/chair’s names
- Reveal yourself as supporting staff
- Always be friendly and professional
- Be careful with the equipment

Before the session
- Check if the session room is set up properly.
- Put fresh glasses and bottles of water on the desk of the chairpersons (depending on number of seats) and on the lectern for the speaker(s).
- Introduce the speakers to the presentation system. In case the speaker(s) request to use the manual laser pointer, show them how to use it. Make sure that the laser pointer stays in the session hall (speakers tend to keep them).
- Ask company/agency person if they need support.
Please note: It could easily be the case that some of the companies do not need any of the above mentioned technical services on the stage. Some of them have ordered tie micros for each of their speakers or deal their presentations completely by themselves. In this case you have to be present anyhow and support them whenever you are asked for!
During the session:
- You are the first contact person in any case of problems, please be seated in the first row, close to the lectern and have eye contact with the speaker/chairperson and company representative.
- Be very attentive in order to identify immediately the situation in which your reaction is needed. You may either solve the problem yourself or contact the room technician, who is in contact with the congress centre (e.g. temperature in the hall, more water, noise problems etc.).
- Shut all doors as soon as the session starts. Make sure that late coming attendees enter the hall via one door in the back of the room only. Also pay attention to filling situation. In case the room is overcrowded, please contact INTERPLAN/Daniela Eichleitner (+49 173 71 23 106) urgently.
- Be helpful during the discussion to motivate delegates to use the discussion micros in the aisles.
After the session:
- Remove glasses and water from the desk/lectern of the chair persons and speakers.
- Check the tidiness of the session hall, remove the biggest waste and align the rows of seats if necessary.
- If there is no session following, check that the room is locked and inform INTERPLAN/Daniela Eichleitner (+49 173 71 23 106).
